Robotic Process Automation (RPA): Definition, Benefits, and Implementation in Business Processes

Doing work efficiently, at a low cost, and with high productivity is a goal pursued by businesses nowadays. Technological advancements provide many alternatives for businesses to transform their work systems to be more digitally based. In addition to pursuing those benefits, this also becomes an option for companies to compete with competitors in utilizing technology in business operations.

Most companies leverage this technology by involving robots in completing tasks that need to be done manually. There are various types of robots and artificial intelligence that companies can utilize with their functions and operationalizations. One of them is the utilization of RPA or Robotic Process Automation, which is widely used by companies today.

What is RPA?

Robotic Process Automation (RPA), also known as robotic software, uses automated intelligence technology to mimic repetitive office tasks that would otherwise be done by human workers, such as data extraction, filling a form, moving files, etcetera. This system uses a combination of API interactions and user interface (UI) to integrate and execute the repetitive tasks required by the company. Technically, RPA uses rule-based software systems to perform its tasks and can determine the priority of tasks.

There are several software tools with the following capacities explained by Forrester, such as:

  1. Low-code capability for creating automated scripts: through low-code software development, web developers can develop applications with minimal coding without script testing and extensive code writing. Combined with RPA automation, this results in automatically generated scripts for application development coding processes.
  2. Integration with enterprise applications: robotics-based automation through RPA does not replace the software already used by the company before RPA. In this case, RPA can integrate with enterprise applications to enhance the company's productivity in achieving its goals.
  3. Orchestration and administration, including configuration, monitoring, and security:implementing RPA in a working system is not limited to substituting tasks originally done by humans with robots. Beyond that, RPA tools will configure the company's work system and perform monitoring and security aspects when executing assigned tasks.

RPA, as one of the automation technologies, can perform several functions such as accessing information, integrating with other applications through front-end integration, and so on. This allows RPA to work like a human performing routine tasks, such as logging into a system, executing copy-paste commands from one system to another, and carrying out other routine activities.

Three Types of RPA

There are three types of robotic process automation:

  1. Attended automation: In this type, human assistance and supervision are still required to carry out the automation process and perform tasks using the software.
  2. Unattended automation: This type of RPA robot can operate without human supervision or assistance. This is possible because this type of bot has programs directly integrated with the computer system to execute specific commands or processes.
  3. Hybrid RPA: The hybrid type combines features from both attended and unattended RPA robots.

  • Improved employee morale: By replacing repetitive tasks with RPA, employees can focus more on strategic decision-making work, which has a positive effect on their well-being and job satisfaction.
  • Less coding: In practice, RPA does not require extensive coding by developers. The drag-and-drop features of RPA's user interface make tasks easier without the need for technical staff.
  • Existing systems remain in place: Robotic process automation software does not disrupt existing working systems in the enterprise. 

The Future of Automation in Business

Robotic-based software that can perform repetitive and low-value tasks such as logging into applications or systems, file movement, copy-pasting, data entry, form filling, and routine reporting and analysis, is a promising alternative and business strategy nowadays. When these tasks are taken over by robots, human workers can focus more on strategic work.

The development of RPA contributes to creating advanced technologies for the business sector. Many tasks can be carried out effectively, improving employee productivity with the assistance of RPA. This can be observed in the efficiency and quality of work, even when involving complex and extensive data processing. Therefore, automation can be a strategic effort for companies in the digital era to achieve growth and profitability.
